Sales & Operations Administrative Assistant

Job Responsibilities:

Duties & Responsibilities:

  • Generate invoices, gain approvals, and send billing for Commercial Roofing departments 
  • Enter and track invoiced customer records in Sage TimberLine software 
  • Track collection logs and contact customers with aging accounts to coordinate payments; work with Accounting department to ensure payments are accurately reflected
  • Coordinate needed job documents including proposals with customers, internal departments, and subcontractors (waivers, insurance etc.)
  • Issue and track warranty documents
  • Control job file retention records
  • Create weekly and monthly sales reports and other reports as needed
  • Other duties as assigned 

Job Qualifications:
Job Qualifications Required:
  • Minimum of  two years of experience in an administrative support capacity coordinating various functions with external customers and multiple internal company departments
  • Prior experience in invoicing commercial forms following contract specifications
  • Prior experience in Accounts Receivable collections
  • Experience running sales or other types of reporting
  • The successful candidate will possess the following competencies: 
  • Customer focus, problem solving, learning orientation, detail-orientation, analytical capacity, time management, able to work on multiple projects at once, thoroughness, and strong math skills 
  • Must possess the skills to interact with multiple Project Managers and Estimators
  • Be able to shift from one project to another working with several Managers and Estimators at a time
  • Permissible background check including drug screen and work-related references
  • Ability to accept responsibility and accountability for his/her actions
  • Possess strong communication skills – both verbal and written 
  • Experienced in MS Office Suite especially Excel
  • Physical Demands: Ability to effectively communicate verbally and in writing, work on computers and phones regularly in an office environment, and proficiently use hand dexterity to work on office equipment devices. 


  • Working knowledge of Sage TimberLine software for the construction industry
  • Hold Notary Public designation
  • Prior experience in contract administration, project post-sale set-up functions, new sales tracking, and warranty administration
  • Prior experience in AIA commercial invoicing forms and understanding of percentage completion and retention invoicing procedures
