Construction Project Administrator

FT/PT Status:Regular Full Time

Job Responsibilities:

The Construction Project Administrator will work closely with Operations, Project Management, Sales and Estimating to plan and coordinate activities on projects to ensure the goals and objectives are accomplished within a prescribed time frame, within budget. The primary function of the Project Engineer is to ensure document controls are in place   from signed contract to project closeout on multiple projects per the project specifications and plans. This position has no direct supervisory responsibility and reports to a Project Manager.


  • Assist project manager in reviewing proposals, contract documents, drawings and plans to determine time frames, budget, staffing requirements, and allotment of available resources
  • Work closely with Project Management during hand off – kickoff meetings
  • Work closely with Field Supervisors and Estimators
  • Manage coordination between parties involved including the Client/ General Contractors, Architect, Subcontractors
  • Ensure excellent communication between all relevant parties
  • Create and manage project schedules revise as appropriate to meet needs of project and create and maintain project notes and records for safe-keeping
  • Monitor project budget and regularly evaluate production metrics
  • Consult with project manager on project work plans, duties, responsibilities and overall project scope
  • Assist with coordination and monitoring of activities being completed by project teams to ensure overall quality of work
  • Prepare project reports for management
  • Prepare submittals, submittal status, release and delivery
  • Works with the Project Manager to review and update monthly WIPs
  • Monitor and review equipment and tools on projects
  • Attend weekly Operations meetings to ensure proper adjustments are being made to the WIPs and work is being completed as planned
  • Attend on-site client job meetings
  • Attends close out meetings at the conclusion of assigned projects
  • Assists project teams and other Project Managers with problem resolution
  • Prepare and submit material, tool, equipment requisitions to proper departments
  • Works with project manager to formulate change orders and extra work orders when needed
  • Follow up on change order status
  • Coordinate and monitor all changes pertaining to the scope of work
  • Prepares and file all purchase orders
  • Aid in securing all permits, fees, licenses, etc.
  • Promote excellent morale
  • Effectively apply and enforce Company standards, policies & procedures
  • Performs miscellaneous job-related duties as assigned

Job Qualifications:


  • Bachelor’s Degree in Mechanical, Civil Engineering or Business Management
  • 1-2 years construction experience
  • Organizational skills in order to coordinate tasks pertaining to construction projects
  • Ability to oversee projects and employees
  • Sufficient knowledge of Microsoft Word and Excel, Sage Timberline (a plus)
  • Sufficient knowledge of mathematics
  • Ability to compute and interpret charts and graphs
  • Ability to schedule and prioritize all work assignments
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of diverse individuals
  • Ability to enforce and abide by all company policies especially strict safety standards
  • Knowledge of construction plans and specification
  • Experience reading blueprints, shop and architectural drawings
  • Be self-motivated and strive to continue to improve own performance as well as the performance of the projects/ company
  • Excellent communications & customer service skills
  • Pass background check, drug screening, and obtain clearances where necessary
  • Ability to stand, bend, walk project sites, climb ladders to access roofs and be able to lift average-weight objects up 20 pounds
